ITIN CERTIFIED ACCEPTANCE AGENT (CAA) SERVICE

An ITIN is a tax identification number only available for certain foreigners and nonresident individuals, their spouses and dependents who cannot get a SSN from the Social Security Administration (SSA).
A Certifying Acceptance Agent (CAA) is authorized by the Internal Revenue Service (IRS), to assist alien individuals and other foreign persons, who are ineligible or unable to receive Social Security Number (SSN), in obtaining an ITIN (Individual Taxpayer Identification Number) from the IRS. In addition, a CCA is also authorized to submit a Form W-7 on behalf of an applicant, without having to furnish the original documents that support foreign status and identity.

An ITIN is a tax identification number only available for certain foreigners and nonresident individuals, their spouses and dependents who cannot get a SSN from the Social Security Administration (SSA). ITINs are for federal tax reporting only, and are not intended to serve any other purpose. IRS issues ITINs to help individuals comply with the U.S. tax laws, and to provide a means to efficiently process and account for tax returns and payments for those not eligible for SSNs.

The list of documents ITIN applicants might use to prove their identities include:

    • U.S. Citizenship and Immigration Services Photo Identification
    • Visa issued by U.S Department of State
    • Passport
    • U.S. Driver’s License
    • Foreign Military ID Card
    • U.S. Military ID Card
    • National Identification Card
    • United States State ID Card
    • Civil Birth Certificate
    • School Records (valid for dependents under 14 years of age)
    • Medical Records (valid for dependents under 14 years of age)
    • Foreign Voter’s Registration Card
WHY USING A CERTIFIED ACCEPTANCE AGENT (CAA) IN Madison Fund Service, Ltd

    1. This means that we have signed a contract with the Internal Revenue Service (IRS) ITIN office.

      -DO NOT confuse us with Acceptance Agents (AA) or basic tax preparers who have very limited or no authority

    2. We are authorized agents by IRS ITIN office and we can issue Certificate of Accuracy (CoA) letter
    3. The CoA letter is issued when the taxpayer presents original passport or passport copies certified by the foreign issuing agency to the CAA
    4. The CAA has the authority to accept or deny the documents presented. If the CAA is satisfied, only then will the CAA issue the COA letter
    5. “No” original Passport or certified copy of passport needed to be mailed to IRS for Spouse (as of 01/01/2015) 

      -This is unlike an Acceptance Agent (AA) or ITIN application prepared by the taxpayer or other where you must send the original and/or certified copies to IRS

    6. For any dependent, original passport or certified copies from the foreign issuing agency must be provided and mailed to the IRS, along with our COA letter, prepared tax return, and ITIN application(s) (as of 01/01/2015)
    7. The CAA also prepares and signs the ITIN application and the COA letter
    8. The CAA have an exclusive (not available to the public) direct phone line with the ITIN office in Austin, TX
    9. If any issue arises with the ITIN application prepared by the CAA, it can be resolved relatively quickly. Otherwise, it may take up to 6 months should you prepare it yourself

    • Form W-7, Application for Individual Tax Payer Identification Number
    • Form W-7, (COA) Certificate of Accuracy for IRS individual Taxpayer Identification Number , along with required identity documentation.

As part of our package we will include:

    • IRS POA – Power of Attorney to monitor the status with the IRS until the ITIN is issued.

The process for obtaining an ITIN isn’t always easy – and in early 2016 a new law passed affecting ITIN renewals. With the new law, every ITIN will now have an expiration date. So, if ITIN holders don’t renew on time, your refund could be further delayed, preventing you from claiming certain tax credits.

To renew an ITIN, an individual must submit a W-7 application package to the IRS. The package consists of Form W-7, Certificate of Accuracy for IRS Individual Identification Taxpayer Number, and numerous documents verifying the authenticity of the applicant. Taxpayers can submit their application package through a Certifying Acceptance Agent (CAA), by mail, or in person at a designated IRS service center. Many colleges and universities serve as CAAs.
